FacilityPro FAQ
Answers for customers hiring a pitch or hall, facility owners listing a venue, and grassroots clubs running bookings online.
For customers booking a facility
How do I book a sports facility on FacilityPro?
Open a venue page from Browse facilities, choose an available time slot, add any extras the venue offers, and complete checkout. You receive a confirmation email with the booking details.
Do I need an account to book?
You can start as a guest on many venues, but creating a free customer account makes it easier to manage upcoming bookings, invoices, and cancellations in one place.
What can I do with a customer account?
A free customer account lets you see upcoming and past bookings, open invoices or payment links the venue sends, update contact details, and manage cancellations where the venue’s policy allows. Sign in from Login or create an account during checkout when offered.
How do payments work?
Paid public hire is charged securely by card at booking (or via a payment link the venue sends). FacilityPro uses Stripe. The price you see includes the venue’s hire rate plus any extras you select.
Can I cancel or change a booking?
Cancellation and change rules are set by each facility (for example notice periods). Check the venue page and your confirmation email. If you need help, contact the venue first; FacilityPro support can help if payment or account access is the issue — see Contact.
When do refunds happen?
Refunds follow the venue’s cancellation policy and how the booking was paid. Card refunds usually return to the original payment method; timing depends on your bank. Deposits and non-refundable windows are shown before you confirm.
What are extras on a booking?
Extras are optional add-ons the venue sells with a slot — for example changing rooms, floodlights, or catering. Some extras have a fixed price; others may be quote-only so the venue confirms the cost with you.
For facility owners
Is it free to list my venue on FacilityPro?
Yes. Listing is free and there is no monthly subscription. Internal club or school use of the calendar is free. You only pay when outside hirers pay through FacilityPro. Full detail is on Pricing.
What is the £1 + about 10% fee?
On paid public hire, FacilityPro charges £1 plus about 10% of the booking total (card processing included). That fee applies only when customers pay through the platform — not for your own internal bookings.
How do Stripe Connect and Friday payouts work?
Owners connect a UK bank account with Stripe Connect from Payment Details in the dashboard. FacilityPro collects customer card payments and pays out your net amount on Fridays for eligible bookings once Connect is complete.
Do I need Stripe Connect before people can book?
You can publish a venue and take bookings, but you should finish Stripe Connect so payouts can reach your bank. Until Connect is ready, treat bank linking as a priority checklist item after opening times and pricing.
When does my venue go live?
Venues go live as soon as they are saved. Once you have added the facility with opening times and prices, share your public booking link from List My Facilities. Hirers can book against live availability immediately — you do not wait for a separate “publish” step beyond saving the venue.
How does the calendar work for owners?
The owner calendar is the booking system of record: internal holds, public hire, block windows, and maintenance gaps in one week view. Put own-team training in first, then release leftovers. Use it as the only place that accepts holds so WhatsApp threads are not a second diary.
How do extras and block bookings work?
Extras are add-ons tied to your facility (priced or quote-only). Block bookings let you sell fixed windows — for example a Friday evening block with its own label and price — instead of only hourly slots. Configure both from your owner dashboard.
Can I add team members without sharing my login?
Yes. Team Access lets you invite a secretary, caretaker, or other trusted person with their own login so they can help manage facilities without using the owner password. Train at least two people so holidays do not freeze the diary.
Can I keep internal team training private?
Yes. Block your own training and match windows as internal bookings first, then open leftover public hours. Team Access lets trusted staff help without sharing your main login.
How do I share my booking link?
After you add a facility, open List My Facilities to copy your public booking URL, or share it from the facility details panel. You can also embed the calendar on your club website.
For football clubs and grassroots sports
Is FacilityPro built for grassroots football clubs?
Yes. Clubs use it to replace WhatsApp pitch hire with a live diary, protect own-team slots, and take card payment for public hire. See Online pitch booking for football clubs.
Can schools and leisure centres use FacilityPro?
Yes. The same product covers school lettings, sports halls, courts, and multi-space leisure sites — not only 3G pitches. Internal timetables stay free; you pay only on paid community hire.
How do we stop double-bookings between coaches?
Put one live calendar online as the only booking truth. Give team access to the secretary and caretaker so WhatsApp “is it free?” threads are no longer the diary.
Where can I read practical venue guides?
The FacilityPro blog covers pitch hire, hall lettings, payments, weather postponements, and season launch tips. You can also browse live venues or open a UK location page for your town.
How do I get started as an owner?
Create a free facility owner account, add your venue, set opening times and prices, connect Stripe for payouts, then share your booking link with local teams.
